Website Privacy Policy

Relieve Counseling

Effective date September 30, 2026

Roselia M. Ortega, LCSW, operates Relieve Counseling as a sole proprietorship. This policy explains how we collect, use, disclose, retain, and protect personal information through relievecounseling.com and its public forms. It also explains the choices available to website visitors and parenting class participants.

Scope of This Policy

This policy applies to the Relieve Counseling public website, general communications, parenting class inquiries and enrollment, and marketing preferences. Parenting classes are educational services for adults age 18 and older.

Therapy scheduling, intake, telehealth, billing, and clinical records are handled through SimplePractice. Protected health information used for therapy is governed by our separate Notice of Privacy Practices and applicable health privacy law. The public website and its forms are not intended for health information, case details, court paperwork, or other confidential clinical information. Therapy inquiries are directed to SimplePractice.

The website is not monitored for emergencies. If you are in immediate danger or thinking about harming yourself or someone else, call 911 or call or text 988.

Personal Information We Collect

Information You Provide

  • Contact information, including your name, email address, and optional telephone number.
  • Parenting class information, including the English or Spanish group you request, your questions, and communications about enrollment, attendance, or completion.
  • General inquiry information, including the subject of your message, preferred response language, and information you choose to include in the message.
  • Communication and marketing preferences, including whether you opted in or out, the date of the choice, and the method used to record it.
  • Transaction information for parenting classes, such as the class purchased, payment status, amount, date, and limited receipt or billing information. Square processes full payment card numbers; Relieve Counseling and Netlify do not receive them.

Information Collected Automatically

When you use the website, Netlify and other technical service providers may automatically receive limited device and activity information. This may include your Internet Protocol address, browser and device type, operating system, referring page, pages requested, access times, error information, and security logs. We use this information to deliver and secure the website, prevent abuse, and troubleshoot technical problems.

Information From Service Providers

We may receive limited information from service providers when they perform a requested service. For example, Square may confirm that a class payment succeeded, Mailchimp may record a subscription or unsubscribe request, and SimplePractice may confirm an administrative scheduling action. Each provider also processes information under its own privacy terms.

Information We Ask You Not to Submit

Do not use the public contact or parenting class forms to submit symptoms, diagnoses, treatment details, insurance information, clinical records, case details, court paperwork, or other sensitive information. Use the SimplePractice workflow for therapy-related information. If you send sensitive information through a public form despite this instruction, we may receive and process it only to respond, redirect you to a more appropriate channel, protect safety, or comply with law.

How We Use Personal Information

We may use personal information to:

  • Respond to questions and requested communications.
  • Administer parenting class enrollment, scheduling, payment, attendance, consent, and certificates of completion.
  • Direct therapy inquiries to SimplePractice and support nonclinical scheduling or administrative requests.
  • Send service messages, reminders, receipts, and other transactional communications.
  • Send promotional email, calls, or text messages when a person has affirmatively opted in.
  • Operate, maintain, secure, and troubleshoot the website and prevent fraud or misuse.
  • Maintain business, tax, consent, attendance, and legal records.
  • Comply with law, respond to lawful requests, and establish or defend legal claims.

Cookies and Online Tracking

We do not currently use Google Analytics, Google Ads, Meta Pixel, session replay, or behavioral advertising cookies on the website. Netlify, Cloudflare, and other service providers may use strictly necessary technologies to deliver pages, secure the website, block automated spam, process forms, or complete a transaction.

The website does not set cookies of its own. When you sign up for parenting classes, Square's secure card form may store small, strictly necessary data in your browser to process your card and prevent fraud. When you send a form, Cloudflare's security check may do the same to tell people apart from automated programs. Neither is used for advertising. You can block or delete this data in your browser settings, but the card form or the security check may not work without it.

Before adding nonessential analytics or advertising technologies, we will assess the privacy and health data risks, update this policy, and add any consent or preference controls required by law. We will not use protected health information or SimplePractice data to build advertising audiences or retarget therapy clients.

How We Disclose Personal Information

We may disclose personal information to the following categories of recipients for the purposes described below:

  • Netlify, which hosts the website and runs its contact form, waitlist form, and class sign-up process. These pass your name, email address, phone number, group choice, and anything you type in a message to our Microsoft 365 business email, and sign-up details to Square.
  • Cloudflare, which runs the Turnstile security check on our forms to tell people apart from automated spam programs. When you use a form, Cloudflare receives your IP address and limited browser and device information. It does not receive what you type into the form.
  • Microsoft 365, which supports business email, file storage, and administrative communications that do not include clinical details. It also receives and stores the optional release forms parenting class participants choose to return by email. Microsoft provides these services under a Business Associate Agreement.
  • Resend, which sends parenting class welcome emails at our direction, with the class documents attached. It receives your name, email address, and the class details included in that email. Replies go to our Microsoft 365 inbox, not to Resend.
  • Square, which processes parenting class payments. Square receives payment card information directly, stores the card you save when you sign up for classes, uses it for the payment option and any fees you authorize, emails payment links and receipts, and returns limited transaction information to us.
  • Zoom, which hosts live parenting classes. Relieve Counseling does not record these sessions. Other class participants may see your display name and any audio, video, chat, or other information you choose to share during a session.
  • Mailchimp, which stores information for people who opt in to promotional email and sends messages at our direction.
  • SimplePractice, which handles therapy scheduling, intake, communications, telehealth, billing, and clinical records under health privacy requirements and a Business Associate Agreement.
  • Professional advisers and authorities, including accountants, insurers, attorneys, regulators, courts, or law enforcement, when reasonably necessary and permitted or required by law.
  • A successor or transaction participant if the practice is reorganized, transferred, or sold, subject to appropriate confidentiality protections and applicable law.

No Sale or Behavioral Advertising Sharing

We do not currently sell personal information or share it for cross-context behavioral advertising. We do not permit advertising companies to track visitors across unrelated websites through the Relieve Counseling website. If these practices change, we will update this policy and provide any legally required choices before the change takes effect.

Email, Calls, and Text Messages

We may use the contact information you provide to respond to an inquiry or administer a service you requested. We send promotional email, calls, or text messages only after an affirmative opt-in. Marketing consent is optional and is not a condition of receiving therapy or purchasing a parenting class.

You can unsubscribe from promotional email through the unsubscribe link in the message. You can opt out of promotional text messages by replying STOP. You may also contact us using the information below. We may still send nonpromotional messages needed to complete a transaction, administer a class, respond to you, or provide a service you requested.

Data Retention

We retain personal information only for the periods below or as long as reasonably necessary for the stated purpose. A legal hold, dispute, insurance requirement, or other legal obligation may require a longer period.

Record category Retention period
Website inquiries that do not become enrollments Up to 12 months after the last contact
Raw website form messages Up to 90 days after transfer to the class administration record
Parenting class consent, attendance, certificate, and transaction records Seven years after class completion
Marketing consent and opt out records While the preference is active and as long as reasonably needed to document consent, honor suppression, or comply with law
Security and server logs According to the service provider schedule and only as long as reasonably needed for security, troubleshooting, or legal compliance
Adult therapy records At least seven years after therapy ends, or longer when required by law, contract, or an applicable records hold

Security

We use reasonable administrative, technical, and physical safeguards appropriate to the information we handle. These include limiting access to authorized personnel, using service providers with security commitments appropriate to their role, and using encrypted connections where available. No website, email, or storage system can be guaranteed completely secure. Do not send confidential clinical information through the public website or ordinary email. If you return a parenting class release form by email, keep in mind that email is not completely private. You can call us to arrange another way.

Your Choices and Requests

You may ask to review, correct, or delete personal information collected through the website by contacting us. We may verify your identity before acting on a request. We may deny or limit a request when information must be kept to complete a transaction, maintain required records, protect safety or security, comply with law, or establish or defend legal claims.

Requests concerning therapy records or other protected health information are governed by the Notice of Privacy Practices. Those requests should be made to the Privacy Officer or through the SimplePractice client portal where available.

Browser Privacy Signals

Because the website does not currently use cross-site behavioral advertising or analytics trackers, browser Do Not Track and Global Privacy Control signals do not change how the website operates. We do not currently respond to Do Not Track signals through a separate technical process. We will reassess browser-based preference signals if our tracking or advertising practices change.

Adults Only

The website, therapy services, and parenting classes are intended for adults age 18 and older. We do not knowingly collect personal information through the website from anyone under 18. A parent or guardian who believes a minor submitted personal information may contact us to request deletion.

Third Party Services and Links

The website may link to SimplePractice, Square, Zoom, Mailchimp, maps, licensing resources, crisis resources, or other third-party services. Information you provide directly to another service is governed by that service's privacy terms and security practices. Relieve Counseling is not responsible for an unrelated third party's website or practices.

Visitors Outside the United States

The website and Relieve Counseling services are primarily directed to people in the United States. Therapy is offered only to adults physically located in California at the time of service. Parenting classes may be available more broadly, but they are not specifically marketed outside the United States. If you access the website from another country, your information may be processed and stored in the United States, where privacy laws may differ from those in your country.

Changes to This Policy

We may update this policy when our services, vendors, or legal obligations change. We will post the revised policy on the website and change the effective date. For a material change, we may also provide a notice on the website or contact affected individuals when appropriate. The revised policy will apply from its stated effective date.
